Launch your newsletter
The Khroma newsletter lets you keep your contacts informed: new works, exhibitions, shop opening, current series. This article covers activation, importing subscribers, creating a campaign, the moderation rules, and the monthly quota.
Where to find it
Dashboard → Newsletter
Three subsections:
- Settings — activation, prerequisites, visual template.
- Subscribers — your contact list.
- Campaigns — your sent or in-progress newsletters.
Until the newsletter is enabled, the dashboard reads: Enable your newsletter to start.
Enable the newsletter
Go to Settings. Before you can flip the Enable newsletter toggle, two prerequisites are mandatory:
Enter your physical address
Field Physical address. Hint: Legally required (CAN-SPAM, GDPR). Appears in the footer of your newsletters.
This is a legal requirement in most countries (CAN-SPAM in the US, GDPR in the EU): the sender's physical postal address must appear in any marketing email. It can be your studio, your home, or a P.O. box — as long as it's a verifiable address.
Enter your reply email
Field Reply email. Hint: Replies to your newsletters will be sent to this address.
This is the email subscribers will reply to if they reply to your newsletter. Often your public contact email, or a dedicated address.
Once both fields are filled, the Enable newsletter toggle becomes clickable.
Pick a template
Khroma offers two visual templates:
- Clean — White card, name header, warm background. A sober, professional style.
- Personal — Plain text, no card, personal email feel. A more direct style, like an email written by you.
Pick based on the tone you want. You can change at any time; future campaigns will use the new template.
A Show logo toggle controls whether the newsletter header includes the Khroma logo.
Build your subscriber list
Khroma collects subscribers from several sources:
- Site form — the signup form shown on your public site.
- Checkout — checkbox proposed to the buyer at checkout.
- Signup — checkbox proposed to a buyer who creates an account on your site.
- Account creation — users who create a general Khroma account and choose to receive your news.
- Added manually — subscribers you add one by one from the dashboard.
- CSV import — bulk import.
Possible subscriber statuses:
- Subscribed — opt-in confirmed, receives your campaigns.
- Pending — opt-in not yet confirmed (double opt-in is required for new signups). The subscriber received a confirmation email to click.
- Unsubscribed — the subscriber opted out.
Import a CSV file
If you already have a subscriber list (from another tool, for example), go to Newsletter → Subscribers → Import CSV.
The file must contain at minimum an email column. Optionally: first name, last name, language, signup date.
A GDPR consent checkbox is mandatory before import:
I confirm that these subscribers have given their explicit consent to receive my newsletter (GDPR).
This confirmation is legally required — you attest that the imported contacts have already given you their consent to receive your communications. If you import a file with dubious consent provenance, you take a personal legal risk.
The import is bound by your plan's subscriber quota. Any overflow triggers a warning: {count} rows refused: subscriber limit of {limit} reached.
Create a campaign
Newsletter → Campaigns → New campaign.
The editor opens four main fields:
- Campaign name — internal, to find it in your list. Hint: Visible only to you, in your campaign list. Example: Christmas Promo 2026.
- Subject — the email subject your subscribers see. The single most important field for open rate. Be clear and short (50 characters max ideally).
- Preview text (preheader) — text shown in the inbox below the subject. Hint: Visible in the inbox, below the subject. If empty, the first 100 characters of the content will be used.
- Content — the body of the newsletter, in the rich-text editor.
An Editor / Preview toggle switches between writing and previewing the final render.
Test before sending
Before launching the campaign to your full list, use Send test: a pre-filled email is sent to your personal address. Check the rendering, links, and spelling.
Scheduling
Three publication actions:
- Save draft — saved without sending.
- Schedule — modal that asks for the send date and time. At least 15 minutes ahead, in your timezone.
- Send newsletter — immediate send (after moderation if applicable).
Moderation and quota
Khroma applies two limits to protect buyers (and your sender reputation).
Monthly quota
You can send a maximum of 4 newsletters per calendar month on Khroma, regardless of plan. Beyond that, the send button is disabled, and a banner shows:
You have sent 4 newsletters this month. You'll be able to send again starting on the 1st of {next month}.
This limit is meant to prevent over-sending, which degrades open rates and triggers mass unsubscribes.
First-campaigns moderation
Your first campaigns go through human moderation. After 3 approved campaigns, your sends become automatic.
During the moderation phase, a banner appears in the editor:
Your campaigns are subject to moderation before sending.
You're at {sent}/{threshold} sent campaigns. After {threshold} approved campaigns, your sends will be automatic.
Moderation delay: within 48 hours.
When you click Send newsletter, the campaign moves to Pending review status. The Khroma team reads and validates (or rejects) it within 48 hours. You receive an email at each outcome.
Possible statuses:
- Draft — you're working on it, not yet sent.
- Pending review — submitted, under review.
- Approved — validated, will be sent (or is being sent).
- Sending — the send is in progress.
- Sent — the send is complete. Statistics are available.
- Rejected — the campaign was refused. A reason is provided. Modify the content and resubmit.
- Scheduled — send planned for a future date.
- Cancelled — schedule cancelled.
Send statistics
Once the campaign has been sent, the detail screen shows:
- Sent — number of emails Khroma sent.
- Delivered — number of emails received in inboxes (excluding hard bounces).
- Opened — number of subscribers who opened.
- Clicked — number of clicks within the newsletter.
- Rejected — number of hard bounces (invalid addresses).
- Complaints — number of subscribers who marked your email as spam.
Watch the complaints: a high rate signals a relevance problem with your audience.
Multi-language
If your subscribers span multiple languages (French, English), Khroma lets you translate your campaign per language before sending.
In the campaign screen, a Translation Panel lets you provide a translated version of the subject, preheader, and content for each target language. At send time, each subscriber receives the version in the main language of their signup.
If a translation is missing for a language, those subscribers receive the version in your main language, and a warning is shown: Missing content for: {languages}. These subscribers will receive the main language version.
GDPR and unsubscription
All newsletters sent via Khroma automatically include an unsubscription link in the footer. You can't remove it — it's a GDPR legal requirement.
When a subscriber unsubscribes, their status flips to Unsubscribed. They no longer receive any newsletter from you. You keep the record in your list to respect their right to opt out (you must not unilaterally re-subscribe them).
The newsletter is a powerful tool to nurture an art-loving audience. Favour quality and regularity (a well-crafted newsletter every two months) over raw frequency (a weekly send that ends up in spam).
Frequently asked questions
How many subscribers can I have?
The cap depends on your plan. The detail is in Dashboard → My plan. Beyond that, import and addition are blocked until you upgrade or remove contacts.
Are my buyers automatically subscribed?
No. Khroma offers a Subscribe to newsletter checkbox at several steps (checkout, account creation), but it's always explicit opt-in. No buyer is signed up without their consent.
Why are my first campaigns moderated?
To protect buyers from spam and preserve Khroma's reputation as an email sender. Once three campaigns are approved, the control eases: your subsequent sends are automatic.
What happens if a campaign is rejected?
You receive an email with the reason for rejection. Modify the content accordingly and resubmit the campaign. The approved-campaigns counter only increments on approvals.
Can I delete a subscriber?
Yes, from Newsletter → Subscribers, select the subscriber and click Delete. Deletion is irreversible (history is lost). To keep a trace but stop sends, use Unsubscribe instead.
Does the 4-per-month quota apply to drafts?
No. Only actually sent campaigns count toward the quota. You can prepare as many drafts as you want.
