Configure your shipping profiles

Before listing your work for sale, you need to configure how you charge for shipping. Khroma uses a shipping profiles system: a profile bundles your classes (by size), your zones (by country), and the rate grid that crosses the two. You can have several profiles — for example one for paintings and another for fragile sculptures.

This article describes the default profile created by Khroma, how to edit it, and how to create your own profiles.

Where to find it

Dashboard → Shop → Shipping & returns

The screen first shows settings shared by all your profiles (calculation mode, lead times, returns), then the list of profiles. Clicking a profile opens detailed editing.

The default profile

Khroma automatically prepares a default shipping profile. The badge next to the profile reads: 4 classes (Small, Medium, Large, Custom quote) × 3 zones.

Default classes:

• Small — works whose longest side stays modest (postcards, small prints).
• Medium — intermediate sizes (most framed works).
• Large — bulky or oversized works.
• Very large / Custom quote — works that need specific logistics handling.

Default zones:

• France — mainland France + DOM depending on your settings.
• Europe — EU countries (the exact list is configurable).
• Rest of world — everything else.

Rates default to 0: it's up to you to enter your prices in the grid.

Calculation mode

At the top of the shipping page, a toggle determines how Khroma calculates shipping when a buyer takes several items:

• Per item — each item generates its own shipping fees. Total = sum of each item's fees. Suits artists who ship items separately.
• Per order — a single shipping fee per order, based on the highest (most expensive) class among the items. Suits artists who pack multiple works in one shipment.

Most artists start with Per item. The Per order mode is useful if you ship works in a single package and want to encourage multi-item carts.

Preparation and shipping

Section shared by all profiles:

• Preparation lead time — minimum and maximum, in business days. Shown to the buyer as Ships within {min}-{max} business days. Be realistic: under-promising is better.
• Ship to EU (toggle) — do you ship within the EU? If off, EU zones won't be offered.
• Worldwide shipping (toggle) — do you ship outside the EU? If off, the Rest of world zone is inactive.
• Tracking included (toggle) — promises buyers that orders will systematically be tracked. It's a UX promise, not an automatic check.

Two text fields:

• Packaging — describe your packaging method (Protected corners, double cardboard, bubble wrap…). Shown to buyers on your site's Shipping page.
• Additional information — any restriction or particularity (I do not ship to certain DOM-TOM, No shipping in July).

Configuring a profile

Click the default profile (or + New profile to create another). The profile screen contains three nested blocks.

Shipping classes

You group your works by size. For each class:

• Name — label visible in the listing selector.
• Longest side limit (cm) — Khroma automatically assigns this class to works whose longest side does not exceed this value. Leave empty for special cases (manual quote).

Assignment is automatic when you create or edit a listing: Khroma reads the largest side (width, height, or depth), then picks the first class whose limit is ≥ that value. The class without a limit (empty field) acts as a fallback.

Shipping zones

You divide the world into logical zones. For each zone:

• Name — internal label.
• Countries — multi-select. Enter line by line, or use presets.
• Free shipping from (€) (optional) — a threshold above which fees are waived. Leave empty if no threshold.

Two presets speed up entry:

• + All EU — adds all EU countries at once.
• + Rest of world — toggles the * wildcard that covers any country not explicitly listed.

The * wildcard matters: it ensures a buyer from an unanticipated country still gets a rate (unless you explicitly want to exclude these countries — in which case, don't add *).

Rate grid

This is the heart of the profile. A table crossing Class × Zone where you enter the rate for each cell. Three types are possible:

• Flat — a euro amount (for example €12). The most common.
• Free — shipping is free for this combination.
• Custom quote — the buyer cannot order online; they must contact you for a quote. Khroma displays a Request a quote button instead of the buy button.

You can mix freely: for example Flat €8 in France for small formats, Free in France above €200 (via the free-shipping threshold), Custom quote internationally for very large formats.

Multiple profiles for different cases

You can create multiple profiles if your works have very different logistical constraints. Examples:

• A Standard profile for your paintings.
• A Sculpture profile with specific classes and higher rates (specific packaging, specialised carrier).
• A Local pickup profile with €0 rate for buyers who can come and collect.

Each listing is associated with a single profile, selected in the Shipping section of the listing form.

To manage multiple profiles:

• Set as default — makes the profile pre-selected for new listings.
• Rename / Duplicate / Delete — standard actions.

Returns and right of withdrawal

Section shared by all profiles, at the bottom of the Shipping & returns screen:

• Withdrawal period — 14 days (legal minimum) or 30 days. Pick per your policy.
• Return shipping paid by — The buyer or The seller (you). Pick per your policy.
• I offer custom / made-to-order artworks (toggle) — if on, listings marked made to order fall outside the right of withdrawal (legal exception for personalised goods).
• Additional conditions — free text shown on your site's Returns page.

What the buyer sees

On a listing, the buyer sees:

• Ships within {min}-{max} business days — drawn from your preparation lead time.
• A Tracking included note if you've enabled it.
• At checkout, the exact shipping calculation based on the entered delivery address: the zone is determined automatically, the class comes from the listing, the rate is read from your grid.

If the combination is Custom quote, the buyer sees a Request a quote button instead of the buy button.

Frequently asked questions

How does Khroma know which class to assign to a listing?

When you create or edit a listing, Khroma reads the largest dimension (among the entered width, height, depth). It picks the first class whose Longest side limit is greater than or equal to that value. If no class matches (a work too large for all your classes), Khroma uses the class without a limit (typically Custom quote).

What if a buyer from an unlisted country tries to buy?

If you have a zone with the * wildcard, that zone's rate applies. Otherwise, Khroma displays a message saying you don't ship to their country, and the buy button is disabled.

Can I charge a negative rate (a discount)?

No, rates are positive or zero. To offer free shipping above a certain amount, use the Free shipping from (€) field on the zone.

How do I handle an exceptionally large work that doesn't fit any class?

Create a Custom quote class without a size limit (empty Longest side limit field). Any work that exceeds the other classes lands there, and the Custom quote rate applies: the buyer contacts you directly.

Do my buyers pay VAT on shipping fees?

Yes, in most jurisdictions. The order summary shows shipping net, VAT on it, and total gross. The VAT rate applied to shipping is generally the standard rate of your country.
